Job Description

The Timber Ridge Property Owners Association // Terridian Utilities Ltd. is looking for a new Bookkeeper//Business Administrator. Reporting to the Board of Directors and, in conjunction with the Property Manager, the Business Administrator will conduct the bookkeeping, administrative and social media functions of Terridian Utilities Ltd. and Timber Ridge Property Owners Association. This is a contract position, reviewed annually, working approximately 15-40-hours per month, depending upon seasonal needs. Great for someone needing a flexible schedule.

Key Responsibilities Include:

  • Bookkeeping functions:

§ Complete and retain monthly and year-end reporting using SAGE accounting system including transaction reports, financial statements, balance sheet and income statement, trial balance, JE’s, general ledger and budget reports.

§ Online and in-person banking.

§ Invoicing, payments processing and collections.

  • Coordination and payment of supplier invoices.

§ Project and society records management and annual report completion.

§ Month and year-end bank and accounts reconciliation.

§ Year-end financial preparation and completion in coordination with Treasurer and designated accounting firm.

  • Track and complete signatory authorizations related to board & contractor position changes.
  • Coordinate and draft communications on behalf of TRPOA/Terridian Utilities Ltd
  • Society and community records management and regulatory reporting – including hard files.
  • Annual General Meeting attendance, administration and society reporting.
  • Website and social media management.
  • Coordination of the writing and editing of the bi-annual Ridge News Newsletter.

Ø A Canada Post box is set-up for mail collection and monitored by this position.

Ø Project and events specific administration, as needed.

The ideal candidate must have previous bookkeeper training and/or experience, along with administrative skills in the areas of writing, database, records and contracts management, as well as social media. Strong client service and communication skills, along with the ability to coordinate tasks from a variety of stakeholders. This position will require a high degree of discretion and confidentiality. The Successful incumbent must have the ability to work remotely with a dedicated office space to house a printer, file cabinet and laptop.
